It’s easy to make your event official!
”Why do I want to make my event official?There are several
reasons for this.
The announcement will be published in the Dragon’s Tale FOR FREE and
that means you have a better chance of getting more people attending your
event, than you would if only your local group knows about it.
Your group will, by having your event listed with events on the Kingdom
calendar, show that it is an active group and people will get more
interested in visiting you. You never know who you might get –
interesting SCA folk from outside of Drachenwald may be in Drachenwald at
the time of your event and decide to come to your event. That is how crown
tourney several years ago got the first Duke of the SCA attending.
By making your event official you are helping the Kingdom to have enough
events for people to chose from to be able to participate in a Crown
Tourney, and by showing that Drachenwald is an active, vibrant kingdom full
of lots of fun events.
And, by making your event official, in most cases that means your event is
covered by the SCA insurance policy should something go wrong.
”What do I need to do to make the event official?”The
first thing is to get the event listed on the Kingdom calendar. Events must
be listed by the 25th of the month two months before the event will happen.
That is, if you host an event in March, this must be done at latest the
25.th of January.
But do it well in advance – the more time you give people, the bigger
chance that you will get more far away visitors. The more advance notice you
give people, the better chance they have of getting cheap tickets and having
their personal calendar free so they can attend your event.
You request a spot on the calendar by going to the webform at:

Fill it out and send it to the person in charge of the calendar, who will
answer you and let you know if you will get the date. Events cannot conflict
in the same region without permission, so for instance, if you reside in a
group in Germany and you know that another group in Germany is hosting an
event that same weekend and they are already listed in the Kingdom calendar
– you won’t be able to host an official event that weekend. The
five regions for conflict purpose are: Insualae Draconis, Nordmark,
Aarnimetsä, Central (Germany, Austria, Netherlands, France, and Italy),
and everyone else.

The next thing is to write an event announcement.
The announcement must be published at the latest in the Dragon’s Tale
of the month you host your event. E.G. for a June event the announcement
must be in the June D.T. The sooner you announce your event, the more likely
it is that people will have time to plan their trip to your event. You
cannot get an announcement published in the DT unless it is listed on the
Kingdom calendar.
To make sure your event will be official, the announcement in the
Dragon’s Tale needs to contain certain specific information:
This MUST be included in an announcement:
- Name of official SCA sponsoring group
- Legal name and address of Event Steward(s)
- Street address of the site. (if there is no street address you must
mention that in the announcement.)
- Date of the event.
- Starting and stopping time of the event. (Exact times needed for
insurance reasons!)
- Payment information (if there is any fee).
- Name and contact details of a Marshal-in-Charge. (If there is
combat.)
You are ENCOURAGED to include this:
- Reservation deadlines if any.
- URL for the full announcement including directions to the site.
- Restrictions if any (pets, open fires, alcohol, smoking etc.)
The announcement must be sent to the Drachenwald Chronicler two months
before your event. If you host an event in March, the announcement must be
sent to the Chronicler no later than the 25:th of January.
(Explanation. The Dragon’s Tale (DT) deadline is the 25.th of each
month. This is to allow time for the Chronicler to produce the newsletter,
get it printed, and mailed out. And every deadline is for the DT two months
from then. So the deadline in January is for the March DT. The deadline in
February is for the April issue and so on. If you feel uncertain, take a
look at the calendar in the Dragon’s Tale where the deadlines are
listed, or contact the Kingdom Chronicler at:

”Is that it?”Yes, that is basically it.
A few tips however – don’t write a very long announcement. It
will be shortened if it’s too long. You can put as long an
announcement as you want on your web site.
Don’t format the text – all announcements in the Dragon’s
Tale are formatted in the same way and only the Chronicler can do
that.
Don’t write the announcement straight into an e-mail, it is easier for
the Chronicler to just download a Word-file and it is easier for the
Chronicler to keep track of a file than an e-mail.
Do we have to wear grab at our event?You do not necessarily have to
wear garb for an event to be an official Kingdom event! Corpora is clear
that at informal classes, garb does not have to be worn.
For instance, if you wish to host a fighters camp, fight all day and just
hang out in mundane clothes and talk about fighting in the evening –
it can still be an official event!
Does it have to be an overnight event?No, it can be a one day
event. If you wish to make a dance practice at a regular Sunday meeting an
official event – you can do it! Events can be any reasonable length
you want – half a day, one day, two days, a weekend, a week,
whatever.
Does it have to have a feast? Or even serve any food?Not at all.
Serving food of any sort is up to the people running the event. You
can serve food, you can have a pot luck where everyone shares, people can
bring their own. Each event is different, and does what is best for that
event.
Does it have to be on a weekend?Events can be on any day that you
can get people to come to them. We usually have events on weekends, but it
is not required.
